How Managers Review Time-Off Requests

Managers can review pending time off from Request Center or More → Time Off Requests. Approval adds the time off to the team member’s records; rejection keeps the request in history without granting it.

Step 1: Open Time Off Requests

From the manager home screen, tap Time Off in Request Center. The count shows how many requests need attention.

Step 2: Find the request

Keep Current Only on to focus on active requests. Turn it off when you need to find an older approved, rejected, or withdrawn request. Tap a request to open its details.

Step 3: Review all details

Confirm the team member, paid or unpaid reason, full-day date range or exact start and end times, notes, and attached photos. Check the team schedule before deciding when overlapping absences could affect coverage.

Step 4: Approve or reject

Tap Approve to grant the request. ShiftFlow updates the request status and includes the time off in the affected schedule and timesheet. Tap Reject when it should not be granted.

The team member sees the result under My Time Off. Rejection is different from deletion: rejected requests remain available as history.

After approval

Open the approved entry to verify its reason, dates, times, notes, and photos. Managers can edit or delete an existing time-off record when a correction is required. See How to Request and Manage Time Off for direct creation, editing, deletion, withdrawal, and team-member steps.

If Approve or Reject is unavailable

  • Confirm you have Manager access for the team member.
  • Refresh the list in case another Manager already reviewed the request.
  • Check whether the team member withdrew it while it was pending.
  • Verify the account has an active subscription and a network connection.
