How to Clock In and Out Offline
Offline Mode lets you keep recording essential time clock events when your device cannot reach ShiftFlow. Your offline timeline stays on that device until it is uploaded, so finish the sync before signing out, clearing app data, or changing devices.
Before you start
- Offline Mode is available in the mobile app, but not while the device is configured as a kiosk.
- Open ShiftFlow online before your shift when possible. The app needs cached account settings, work sites, job codes, cost codes, and break types to use them offline.
- Required device location and work-site distance rules still apply offline.
Step 1: Switch to Offline Mode
On the Clock tab, tap the no-network banner or Switch to offline mode.
You can keep recording time in offline mode.
Review the message, then tap OK. ShiftFlow keeps the offline session on this device and will upload it when a connection is available.
Offline Mode
You can log clock-in & out hours in offline mode, and the data will sync automatically once the network is restored.
Step 2: Record your shift
Use the offline clock the same way you use the regular clock. You can:
- Clock in and clock out.
- Start or end a break.
- Start, end, or switch a job.
- Select a cached work site, job code, cost code, or predefined break type when required.
Offline Mode does not support notes, expenses, tips, bonuses, mileage, extra fields, or adjusting a shift start time. Add or correct those items after the session has synced, or ask a Manager to update the timesheet.
Step 3: Exit and upload your time
Once the network is stable, tap EXIT in the upper-right corner. Review Upload your time and exit offline mode?, then tap Confirm.
Upload your time and exit offline mode?
We'll upload your offline time to the server, then take you back to the time clock.
Wait until ShiftFlow returns you to the regular time clock. Do not close the app while it says Uploading your time….
If your time cannot sync
If you see Couldn’t sync your time, choose the action that matches your situation:
- Try again: Retry after confirming the device has a stable connection.
- Back to the clock: Return to the offline timeline without deleting it. Use this when you want to retry later.
- I took screenshots for proof, and leave: Use only after capturing the complete timeline and sending it to your Manager. This leaves Offline Mode and removes the unsynced local session from the device.
Couldn't sync your time
Take a screenshot of your timeline as proof and show it to your manager before leaving.
If Offline Mode will not let you clock in
For Location is required, turn on Location Services and allow ShiftFlow to access your location. For Device location is too far, move inside the configured work-site radius and try again. Offline Mode does not bypass either rule.
If the device is in kiosk mode, reconnect it and use the kiosk clock. A kiosk cannot switch to Offline Mode.
Confirm the upload
After syncing, open your timesheet and verify the clock-in, job changes, breaks, and clock-out. Contact a Manager before making another entry if any event is missing or duplicated.
