How to Control Where and When Team Members Can Clock In
Managers can control which devices team members use for time clock actions and how early they may start a published scheduled shift. Review both settings together so the rule matches the way the team actually works.
Step 1: Open time clock settings
Tap More → Account Settings.
Open Clock-In Devices to choose an allowed source. Open Early Clock-In Window to limit early starts for scheduled shifts.
Account Settings
Step 2: Choose mobile and kiosk access
Select one of the available Clock-In Devices options:
- Kiosk + Mobile allows team members to use either their ShiftFlow mobile app or the shared kiosk.
- Kiosk only requires the kiosk for clock in, clock out, breaks, and job switches.
Clock-In Devices
Use Kiosk only when all time clock actions must happen on a business-controlled device. Make sure the kiosk is configured and team members know their PIN before enabling it. See How to Set Up Kiosk Mode and How to Find Your Time Clock Kiosk PIN.
This setting controls the device source. Location, work-site distance, Photo Proof, and Job Code requirements can still apply separately.
Step 3: Set the Early Clock-In Window
Open Early Clock-In Window, then choose how many minutes before a scheduled start the team member may clock in.
Early Clock-In Window
Only applies to published scheduled shifts.
Scheduled shift starts at 9:00 AM, unable to clock in at the current time.
The window applies to published scheduled shifts. For example, with a 15-minute window, a 9:00 AM scheduled shift becomes available at 8:45 AM. It does not move the scheduled start time.
What team members see
When mobile access is disabled, the mobile Clock tab directs the team member to use the kiosk. When a team member is too early, ShiftFlow shows the scheduled start and explains that clock-in is not available at the current time.
The team member should use the approved device or wait until the window opens. If the schedule is incorrect or the person was asked to begin early, a Manager can edit the scheduled shift or adjust the account setting.
After changing either rule, test one published scheduled shift with the intended device. For other blocking messages, use Why Can’t I Clock In?.
