What Should a Payment Reminder Text Say?

Use four payment reminder text templates for invoice delivery, due dates, and overdue balances, with response branches that stop the wrong follow-up sequence.

A field Worker feeds one concise invoice reminder through a narrow message slot while vague just-checking-in notes fall into a reject tray.

A payment reminder text should identify your business and invoice, state the balance and exact due status, give the customer one usable payment action, and offer a direct way to report a problem.

For a correct invoice that is already overdue, start here:

Hi [customer first name], [business name] here. Invoice [number] for [$amount] was due [date]. You can pay by [method or secure link]. If payment has already been sent or something on the invoice needs attention, reply here and I will check it.

That message is short, factual, and easy to act on. It does not assume the customer is refusing to pay.

Use text only through a customer contact route approved for the job. Honor an opt-out or request to stop. Before automating messages, check the federal, state, carrier, and provider rules that apply to consent, sender identification, timing, and opt-out handling.

Put the useful facts in the text

Every reminder needs:

  • The business name.
  • The invoice number or recognizable job reference.
  • The current balance.
  • The exact due date or overdue status.
  • One payment route or requested response.
  • A monitored contact for questions.

“Just following up” leaves out the bill. “Please pay ASAP” leaves out the deadline and payment route. The customer has to search old email and guess what you want. A polite reminder is not vague; it is easy to resolve.

Four payment reminder texts to adapt

The timing below is a practical starting point, not a legal rule. Adjust it to the written terms, weekends and holidays, the customer relationship, and any active issue.

Confirm delivery when the invoice is sent

Use this when text is an agreed contact route:

Hi [first name], [business name] here. We sent invoice [number] for [$amount] to [email or delivery route]. It is due [date]. Reply if you need another copy or have a question about the billed work.

This is a delivery check, not a late reminder.

Send a courtesy reminder before the due date

For a larger balance or a customer who needs time to route payment:

Hi [first name], a reminder that [business name] invoice [number] for [$amount] is due [date]. Payment instructions are on the invoice: [short method or secure link]. Reply if you need another copy.

Skip this message when payment is due immediately at completion or the customer has already paid.

Send the first overdue reminder

After confirming that the due date passed and no payment is recorded:

Hi [first name], [business name] invoice [number] has a balance of [$amount] and was due [date]. Please pay by [method or secure link], or reply today if payment was sent or an invoice item needs review.

This asks for payment or a concrete problem. It does not ask the customer to explain their finances by text.

Ask for payment or a status by a stated date

If there is still no response after the business’s normal interval:

Hi [first name], we still show [$amount] due on [business name] invoice [number]. Please pay or reply with the invoice issue or expected payment date by [date]. Contact [name/number] if you need to discuss it.

Do not add “final notice,” a late fee, collections, a lien, or stopped service unless that action has been separately checked against the agreement and rules governing the job.

Let the response decide what happens next

Do not send the next template automatically when the customer has already told you what is wrong.

  • Cannot find the invoice: verify the address and resend the correct file.
  • Says payment was made: ask for the date and method, then check the payment record before sending another reminder.
  • Disputes the work or amount: ask which item is disputed and pause routine reminders while it is reviewed.
  • Needs more time: record the requested date and send it to the person authorized to decide.
  • Wrong contact: remove the recipient and verify the billing contact.
  • Asks you to stop texting: honor the request and update the contact record.
  • No response: check delivery and the account, then move to nonpayment triage rather than recycling the same message.

A dispute is not a reminder problem. A claimed payment is not a reason to send another pay-now link. A request for more time requires a decision, not an improvised payment plan.

Keep sensitive or unsupported details out of SMS

Do not include full bank or card details, access codes, private property information, unsupported late fees, legal threats, or a link the business has not checked.

If the invoice is wrong, correct it and send a clearly identified revision. A reminder cannot repair missing approval, an unresolved quality issue, or an amount the business cannot support.

Record the message date, invoice, delivery route, customer response, and next action. That is enough to prevent duplicate reminders and show why the conversation changed course; it does not need to become a separate administrative project.

Frequently asked questions

How do you politely remind a customer to pay an invoice?

Identify the business and invoice, state the balance and exact due status, give one payment action, and invite the customer to report a payment or specific invoice problem. Factual wording is more useful than apologizing or saying “just checking in.”

When should I send a payment reminder text?

Confirm delivery when the invoice is sent, consider a courtesy reminder shortly before the written due date, and send an overdue message only after the due date has passed without recorded payment.

How many payment reminders should I send?

Use the account status rather than a universal number. Stop ordinary reminders when the customer reports payment, a dispute, a wrong contact, an opt-out, or a request that needs a decision.
